Summary: The Project and Operations Coordinator is responsible for managing project timelines and deliverables, logistics, scheduling, inventory, material planning, and production coordination at CJB Applied Technologies (CAT). They will also ensure CAT accounting reports, invoices, and books are completed properly each month.
This role will work closely with the lab and pilot plant teams, ensuring smooth communication with customers and internal stakeholders. The coordinator will play a key role in keeping projects organized and on track, allowing the team to focus on formulation development and testing.
The ideal candidate will have strong time management, communication, and organizational skills. While helpful, a background in science or formulation is not required. A solid understanding of business decisions will be beneficial. This position offers the opportunity for growth as part of a small, collaborative team with the support of a larger organization.

- Safety / Environmental:
- Brings all safety / environmental concerns to the attention of the Plant Manager and/or the appropriate department manager immediately.
- Works with other managers, supervisors, and maintenance personnel to create and maintain a safe work environment.
- Collects and manages data necessary for EPA and other Government bodies with chemical reporting requirements. Works with Corporate HSE to submit all required reporting.
- Operations – works closely with the Technical Manager, Pilot Plant Lead, Chemists, Sales Team, and Operators to:
- Feel comfortable writing quotes for pilot plant projects and formulation projects when required.
- Schedule pilot plant projects and manage timing of all projects to minimize delays, missed opportunities, and missed commitments.
- Plan materials needed each week for pilot plant projects (customer and CAT materials)
- Coordinate logistics of materials with Outsource and with customers for pilot plant and lab projects
- Assist with planning and managing manpower to meet production requirements and priorities
- Instruct operators on project goals and priorities
- Run communications between customers and operations
- Manage customers’ inventory at CAT and at Outsource
- Ship out production retains and lab samples through our FedEx account
- Manage wastewater pickups to ensure proper operations can be completed
- Coordinate intercompany projects (CAT projects at Gil Harbin, Cypress St projects at CAT, Salvus special projects, etc.)
- Assist with greenhouse projects as needed
- Accounting and Reporting - works closely with the
- Review and approve/decline all accounts payable invoices
- Ensure all account payables are entered in the correct GL code
- Responsible for converting time reported by operators and lab workers into billable credits
- Create and send customer sales and rebill invoices at least once a month
- Coordinate with accounting team on monthly accruals, GL detail, Balance Sheet, and P&L
- Balance CAT’s rebill account monthly
- Manage Paymo, Sage X3, and Sage SEI for all of CAT
- Report monthly metrics of CAT operations, employees, and financials
- Project Coordination & Scheduling – works closely with General Manager, Operations Team, and Technical Team to ensure timely and cost effective delivery.
- Communicates with customers to clarify project scopes, timelines, and required materials.
- Manages project timelines and ensures delivery are met
- Schedules meetings, tracks progress, and follows up on outstanding tasks.
- Translates broad concepts into actionable projects with clear milestones and accountability.
- Leads the weekly projects meeting where billable hours, efficiency metrics, deliverables, and projects are discussed, documented, and kept on track.
- Translates quotes to actionable steps and documents and monitors these steps in the Paymo system to ensure timely and successful project delivery.
- Customer and Team Communication
- Serves as the primary point of contact for project-related updates.
- Ensures all project-related documentation is collected, organized, and stored appropriately.
- Coordinates with internal teams and customers to streamline workflows and meet deadlines.
- Organizational Support
- Helps maintain efficiency by ensuring all business and administrative tasks are handled effectively.
- Supports ongoing process improvements to enhance project management and communication.
- Works closely with leadership to identify and address operational needs.
- Other:
- Able to travel by car, train, and plane up to 5% of a work year. Typical travel will be no more than 3 days in a given week.

Qualification requirements:
The individual should have strong organizational skills with the ability to manage multiple projects simultaneously. They should have excellent communication and customer service skills. They have the ability to prioritize tasks and problem-solve in a fast-paced environment.

Education and/or Experience:
Minimum of a B.S. Degree, preferably an Agricultural business related degree, formulation chemist related degree, or equivalent relevant industrial experience. Georgia Work Ready Test required.
Computer Skills:
Competent with Excel, PowerPoint, Word and other MS Office software. Proficient with Paymo, Membrain, and Sage software with training.
Language Skills:
Ability to read, analyze, interpret, and create Invoices, Purchase Orders, Sales Orders, P&L’s, Balance Sheets, General Ledger details reports, SDSs, manufacturing sheets, packaging sheets, and inventory reports. Ability to effectively communicate with co-workers and visitors.
Mathematical Skills:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to interpret graphs. Ability to read and interpret scales.
